April 29, 2012Vestry Report on Special Congregational Meeting to St. Stephen’s

A well-attended Special Congregational meeting was called to order this past Sunday, April 29th in Spurling Hall. After enjoying a delicious potluck luncheon, Senior Warden Dave Melton called the Meeting to order at 11:50 a.m.

The Rev. Susan Bek led the gathering prayer, and then Warden Dave Melton gave a brief overview of the “rector search (or discernment) process” using a computer-projected graphic showing how the Diocese of Los Angeles asks that this process be handled.

Dave brought the gathering up-to-date on the work of the St. Stephen’s Vestry in studying, meeting with, and interviewing the remaining candidates for Rector which the Search Committee had provided to them in late March.

Highlights of Dave’s remarks include:
  • The Vestry has now completed its meetings with the finalist candidates
  • The next step in the process is for the Vestry to vote on which candidate it wishes to call as our new ector
  • The voting should occur soon – within the next two weeks
  • After the Vestry has chosen a candidate to call, the candidate’s name will be given to the Diocese for their information. Since Bishop Bruno has already approved all these candidates, we do not expect any delay in receiving diocesan approval to contact the selected candidate with our call message
  • Once the chosen candidate has accepted our call, he/she will be sent and asked to sign his/her agreement to accept our call, followed by paperwork to detail agreed upon salary and benefits
  • When the Vestry receives the candidates signed agreement to come to St. Stephen’s as our new Rector-elect, the Vestry will make the announcement (with the candidate’s name and biographical information, etc.) to the congregation as soon as possible
  • The Vestry will alert the congregation as to when the new Rector’s name will be announced beforehand by email to all members for whom we have email addresses on file
  • If you do not have your email address on file with the Church Office, please call the Office at 661-252-7417 M-F and provide us with that information so that you will receive this important notice when we give it
  • We anticipate being able to reveal the name of our Rector-elect within the next two weeks
Following Dave Melton’s presentation, members of the audience asked several questions, the most prominent one being “why has this process taken so long” As Dave explained, considering the voluminous work which is required to properly vette the candidates (over two dozen received originally) by the Search Committee, and then the interview process conducted by the Vestry, the process has actually moved along at a very brisk clip. It was revealed that the average “rector search process” in the Episcopal Church takes from 12 to 18 months. We actually only began our process in late September, 2011, when the Diocese provided us with names of applicants for the position.

Next, students of the diocese’s “Fresh Start” program gave a presentation on handling the “transition period” between Rev. Lynn Jay’s retirement and the calling of a new Rector. Emphasis was placed on the opportunities presented by this important new chapter in the parish’s life, while recognizing that such change can also be difficult.

A song (and lyrics sheet) was provided to everyone which talks about this transition time using the metaphor of a trapeze – being willing to take the jump from one trapeze to other.

Folks were asked to write down any on-going concerns they may have for the Vestry to hear, and several did so.

The Meeting ended with a prayer by Rev. Susan at approximately 12:50 p.m.

April 18, 2012Vestry Sunday Update

Good morning! Your Vestry continues its work leading up to the calling of our new rector.

We are continuing our on-site interviews of the finalist candidates and they are going very well. We are “on schedule” to complete the interview process in a timely manner, and look forward to completing our discernment journey soon thereafter with the selection of a rector-elect.

Since the day our next leader will be called is fast approaching, we have scheduled a special parish meeting for Sunday, April 29th after the second Sunday service to discuss the transition process with all of you. The meeting should begin around 11:30 a.m.

As you may know, two teams of parish members have attended diocesan classes on managing this “transition process” to help us better cope with the inevitable challenges and opportunities that will occur going forward.

We urge all of you to set aside an hour or so of your time for two weeks from today to join in a discussion of the transition process with us.

Since this parish meeting will occur over the Noon hour, we will have a potluck meal in conjunction with the meeting.

If you have any questions, please bring them with you on April 29th so that we can address them at that time.

And – most of all – please continue to pray for your Vestry as it continues its work!

March 18, 2012Vestry Sunday Update

Good morning! I’m here to update you on your Vestry’s progress toward choosing our new rector.

We continue to have frequent Vestry meetings specifically devoted to the search process. At the latest meetings we have established a protocol for bringing candidates to Santa Clarita and intensively engaging with them in our discernment process while they are here.

Itineraries have been established for each of the finalists, which include air travel, accommodations, meals, and meetings as well as informal gatherings.

Utilizing the Parish Profile information which you provided to us earlier in the selection process, questions for the candidates are being developed and honed to hopefully elicit thoughtful and revealing answers to our questions.

Visitation dates over the next several months have now been established for all three candidates and we look forward with great anticipation to meeting each of them and getting to know them better face-to-face.

We will continue to update you on a regular basis as we move forward.

As always, we ask you to keep our efforts in your prayers.
February 25, 2012Sunday Search Committee Update

Good Morning! Yesterday, the Vestry and the members of the search committee enjoyed an all-day retreat at Trinity Episcopal Church in Fillmore to facilitate the introduction of the three candidates that the search committee has chosen for further discernment as our rector. The search committee presented a comprehensive introduction and analysis of the three candidates and allowed time for the Vestry to ask questions and/or make comments. Each Vestry member was given a comprehensive portfolio of each applicant that they will use to interview and evaluate the candidate who will be the next rector of St. Stephen’s.

This is the last Sunday that the search committee will make an announcement about the process for selecting a rector for our parish. Starting next Sunday, the Vestry will provide updates for the congregation about the journey in discernment that they are undertaking. Throughout these thirteen months, the members of the search committee were energized by your prayer and by your support during the process that we undertook. We are both excited and delighted that this process has entered the next phase. We are joyful that the next steps can be taken for the Vestry to pray and to decide upon the rector who will lead us. We, as the search committee, now ask for the congregation to think of the Vestry in their prayers as they discuss and determine the next person for our parish. Thank you for your support and understanding, and may God’s peace and presence be with all of us when our next rector is called to lead us to be Christ for each other and for the world.
February 12, 2012Search Committee Sunday Update

Good Morning! The search committee is in its final stages of checking references and making visits with candidates. Committee members are compiling information, references, and other data that will be used to be presented to the Vestry. We are still looking at presenting our candidates to the Vestry in late February or early March. Once that occurs, the search committee will end its charge and the Vestry will conduct its interviews of the candidates.

As we prepare for Lent and the deep thought and prayer that the season encourages, we continue to ask for your prayer and meditation not just for the work of the search committee but also for the Vestry as it prepares to receive the names that we will provide. The work that we have completed in this discernment has brought us to a deeper connection with God and with the congregation whom we represent. Thank you for all of your support and understanding with us, and we are very humbled with the work that you charge us to do. We will make another update on Sunday, February 26, at both the 7:45 and 10 services.
January 29, 2012Search Committee Sunday Update

Good Morning! Various members of the search committee continue to visit with candidates at their current assignments to gain more insight as to how the priest celebrates a service, delivers a sermon, and interacts with the church life. References continue to be checked, along with the information gathered from our visits, to help the committee members compile documents to present to the Vestry for their consideration. We are entering into a critical and important phase of our discernment as we prepare to present our candidates for consideration.

Last Sunday, we heard in the Gospel lesson about Jesus calling simple men to become his disciples. Peter, Andrew, James, and John all left the life that they knew and felt a call to follow a virtual stranger to become “fishers of men.” As the search committee enters these phases of our discernment, we continue to ask for the congregation’s prayer so that we, like the first disciples, can hear the Holy Spirit and follow our hears and our own spirits to make our selections for the Vestry. In the information that we gather and in the conversations that we have, we continue to ask for the congregation to help God speak to us so that we may select the rector that He has chosen for our parish.
January 15, 2012Search Committee Sunday Update

Good morning. The search committee has concluded its interviews with the candidates and has now moved to the next phase of our discernment process. We are now checking references and ordering background checks from the diocese for the candidates with whom we like to continue dialogue about St. Stephen’s. Members of the search committee are also now visiting the churches of the selected candidates to gather more data and information that can assist us in our conversations about the priests and their environments. We are very excited as we enter this next phase of our discernment journey and continue to keep the Holy Spirit at our core as we get to know the candidates more in depth. As we all know, God has already chosen our rector, but the person will be revealed to use through His spirit as we ask for guidance and vision to lead us to the candidate that He has selected for us.

Last Sunday, we renewed our baptismal vows as we celebrated the baptism of our Lord. As we continue to these next chapters in this process, we ask the congregation to renew and to continue its prayer and thoughts for our work. When we pray every Sunday for the election of a new rector and in our daily prayers, please remember to help the Holy Spirit speak to the members of the search committee as we continue our work together. Good Morning. The search committee has concluded its interview of the candidates and is now moving towards the next phase of our discernment process. Our next steps are to select candidates whom we want to know more about and engage them in meaningful dialogue around the ideas presented from the congregation in the congregational survey. As we move forward with these candidates, we surround our conversations around prayer and meaningful devotion with the Holy Spirit.

The search committee wishes everyone a very joyful and spiritual holiday season. We ask for your continued support and prayer as we continue forward in our process and as we move closer to presenting candidates to the Vestry for their consideration. We will resume announcements in the regular church services at both 7:45 and 10am beginning on Sunday, January 15, 2012.
December 11, 2011Search Committee Sunday Update

Good Morning. The search committee is currently in the process of conducting interviews with the candidates via Skype. We committee members are both hopeful and humbled by our discernment with the candidates as we listen to their responses and hear the Holy Spirit speak to us through them. As we have entered this phase of the process, it continues to take us and the congregation on the journey that will help us arrive at the three candidates that we will present to Vestry. We continue to ask for the prayers and thoughts of the congregation as the members of the search committee meet, conduct interviews, and deliberate on the candidate who will continue our mission here at St. Stephen’s.

As all of us contemplate the advent season and its theme of hope and renewal, let us use this time in our transition with our church to come together and serve the church that we love so much. Even though it appears that this could be a challenging time in our ccommunity, we should find ways to come together as a congregation to serve the Lord and each other during this discernment process. We should all rejoice in the time that we have to move forward with our mission and the excitement that a new rector can facilitate in this endeavor. Let us remember that God speaks through the Holy Spirit that doesn’t always tell us what we want to hear, but what we should hear. To that end, the search committee continues in thoughtful introspection and prayer to move forward in the discernment journey that we are taking with the candidates.
November 27, 2011Search Committee Sunday Update

Good Morning. For the search committee update this morning, the members of the search committee want to reflect, with the congregation, upon our work together as we begin our church year and head into the Advent season. As we continue on our discernment journey, we are reminded of how God appeared to Mary, a simple, kind woman who would bear His son to share God’s love with the world. When the Vestry selected the members of the search committee, we, like Mary, became the servant of the Lord in our charge to find three candidates whom we would present for consideration. The choice that God made in Mary appeared unlikely to bring forth His son as people felt that the Son of God would come in a more rich and triumphant procession. The process took time and would find its place in history when Mary gave birth in the remote town of Bethlehem in a rustic stable surrounded by animals.

Mary and Joseph continued to become acquainted with each other and learned their roles in the birth of Christ. In this journey of discernment, the search committee members continue to become acquainted with our candidates, both through written responses and face-to-face interviews. Much like the family who would raise our Savior, we continue to listen to God in both prayer and in the candidates with whom we speak. The process that we are in is both enriching and unknown, but we continue to ask the congregation to offer its prayer as we journey with the candidates towards finding three candidates whom we will present to the Vestry. Let’s remember the story of Christ’s birth and how the kingdom of God was revealed not in ways that people expected but in a process that was in keeping with God’s will and in His time. The members of the search committee continue in that charge, and we continue to listen as the Holy Spirit guides us in the journey that we are taking in our discernment of our new rector at St. Stephen’s to find someone who will continue our charge to be Christ for each other and for the world.

Good Morning! We have received the register from the diocese deployment office that is a standard, healthy list of candidates. As mentioned in our meetings with the congregation earlier this year, we are now in a process that will take much prayer and much patience as the search committee proceeds forward with this task of reviewing the candidates.

We continue to be blessed that we have a capable priest in charge who is caring for us as we go along this spiritual journey.

As a continued practice, the Search Committee asks that members of the congregation continue to pray for the confidential work that we have been entrusted to perform both for the Vestry and for the St. Stephen’s community.
August 7, 2011Search Committee Sunday Update

Good morning! The search committee has been meeting every Wednesday now here at St. Stephen’s. The committee will continue to keep the congregation informed of its progress at both the 7:45 and 10am services every two weeks. The next update will be on Sunday, August 21.

During the last few meetings since our last update, the committee has finalized the cover letter and applicant packets that will be distributed to all candidates. In addition, the search committee has begun to review and edit timelines for when the applicants’ documents arrive. Finally, the committee has begun to craft the interview questions that will be used to conduct the Skype interviews for the prospective candidates.

As we wait on the names to arrive from the diocese, please continue to pray for the members of the Search Committee as we listen to the call of God to aid us in our discernment process. Again, you can recognize the members of the search committee with the yellow badges that we wear on Sunday mornings. If you have any questions, we encourage you to seek out one of the members. We will meet again on Wednesday, August 10.

Good morning! The search committee is continuing its work by reviewing the congregational survey and parish profile in an effort to generate questions for both the written responses from the applicants and the interview questions that the search committee will ask of the candidates.

The search committee will be providing updates for the congregation every two weeks. We are looking forward to the pool of applicants that are being provided by the diocese and know that the holy spirit will assist us in our selection process. Again, we ask for your prayers and thoughtful understanding as we continue in this undertaking to locate the candidates that we will present to the Vestry.

Good morning! The search committee had its meeting this past Wednesday, June 22, here in room 8. The committee continued its work in reviewing the needs of the congregation in order to help generate questions and criteria for selection. The committee's next meeting will be held on July 6 in room 8. Good morning! The search committee had its eighth meeting on Wednesday, June 8, in the conference room at Mark Young’s office. In our effort to keep the congregation aware of the process towards finding a new rector, we are sharing the highlights from Wednesday’s meeting.

The search committee used the time on Wednesday evening to review the elements from the congregational survey to honor the voices of the congregation as we prepare to screen applications and formulate questions. The committee members will use the information from both the congregational survey and the parish profile as we continue to set criteria for the search. Since we have not yet received applications from the diocese Office of Deployment at this stage of the process, the committee members are using this time to recognize and respect the voices of the congregation in both the survey and the parish profile. Please continue to pray for the members of the Search Committee as we listen to the call of God to aid us in our discernment process. We will meet again on Wednesday, June 22, and will have a Sunday update at both the 7:45 and 10am services on June 26.

Good Morning! The search committee met this past Wednesday, May 18, at 7pm in the conference room at Mark Young’s office. We were honored to have in attendance Jennifer Pavia from St. Augustine By-The-Sea Episcopal Church in Santa Monica with us. She shared insight into her church’s recent discernment process and provided the committee with a number of documents that its committee used when going through the process of selecting a new rector. The committee found the information to be valuable as St. Stephen’s is beginning its journey towards selecting a new priest for our parish.

As we head into summer, the search committee asks for the congregation’s continued prayer as we search for the rector who will be called to our church. The search committee also reminds church members that there will be the second part of the transition process in the parish hall after the 10 am service. The search committee’s next meeting will be on Wednesday, June 1, at 7:00pm.
May 8, 2011Search Committee Sunday Update

Good morning! The search committee had its sixth meeting on Monday, May 2, in the conference room at Mark Young’s office. As our continued commitment to keep the congregation informed of the journey towards finding our new rector here at St. Stephen’s, here are the highlights of our meeting on Monday evening. The search committee acknowledged the Vestry’s approval to expand the search for a new priest beyond the geographic region initially indicated. This understanding applies to candidates outside the area who are willing to incur some of the visitation costs and moving costs in order to come to St. Stephen’s. The communication with candidates will be followed through a spreadsheet that will keep track of all correspondences with candidates. The initial candidate packets were reviewed and approved by the search committee, and committee members are in the process of reviewing and editing letters that will be sent to potential candidates. The committee also looks forward to our May 18 meeting in which we will meet with the search committee chair from St. Augustine’s to learn more about their discernment process to assist us with ours here at St. Stephen’s.

April 4, 2011Search Committee Sunday Update

Good morning! The search committee had its fifth meeting on Monday, April 4, in the conference room at Mark Young’s office. After the search committee’s meeting last time with Cannon Satorius, the members worked to complete the tasks suggested by Cannon Satorius in order to understand the work of the search committee in conjunction with the Church Deployment Office. As such, the search committee reviewed timelines, further tasks, and documents that are related to the search for a new rector at St. Stephen’s.

Mark Young reached out to search committee chairs as recommended by Revered Satorius to assist St. Stephen’s in the discernment process for a new priest. The search committee chair from St. Augustine’s Episcopal has contacted Mark and will be meeting with the committee in early May. We look forward to having further discussions with the others who have embarked on the same journey as our congregation in selecting a new rector for our parish.

Please continue to pray for the members of the Search Committee as we listen to the call of God to aid us in our discernment process. We will meet again on Wednesday, April 20, and will have a Sunday update in early May due to the Easter Services on April 24.
March 27, 2011Search Committee Sunday Update

Good morning! The search committee had its fourth meeting on Wednesday, March 23, in the conference room at Mark Young’s office. As our continued commitment to keep the congregation abreast of the journey towards finding our new rector here at St. Stephen’s, here are the highlights of our meeting on Wednesday evening. The committee was very honored to have in attendance the Cannon Satorius from the diocesian Church Deployment Office. Cannon Satorius shared insights into the discernment process for selecting a new rector for St. Stephen’s and also answered questions from the committee with regard to the required procedures in filling a church vacancy. She also gave the committee the names of other search committee chairs who have just completed or are in near completion of its search for a new rector. It is the hope that our committee can gather ideas and ask further questions about the process of selecting a new priest for our church.

The search committee would also like to ask our congregation if they know of any priests who may be interested in coming to St. Stephen’s. If someone knows of a candidate, he or she is encouraged to see either Mark Young or Jim Tanner. A member of the search committee will address the congregation again on Sunday, April 10. Please look for the search committee updates in the monthly newsletter and the weekly update after our meetings.

Good morning! You will notice that the search committee members have yellow name tags and will continue to have these name tags until our three selections go before the Vestry. The search committee had its fourth meeting on Monday, March 7, in the conference room at Mark Young’s office. As our continued commitment to keep the congregation abreast of the journey towards finding our new rector here at St. Stephen’s, here are the highlights of our meeting on Monday evening:
• The committee continued to review the process of selecting a rector as outlined by the diocese and as suggested by the book Calling Clergy
• The committee discussed the role of the Church Deployment Office in the process of selecting a new rector
• A representative from the Church Deployment Office will join the Search Committee meeting on March 23
• The committee discussed roles and responsibilities of the committee members as applications begin to come in from our Church Deployment Office

Good morning! The search committee had its third meeting on Wednesday, February 23, in the conference room at Mark Young’s office. As our continued commitment to keep the congregation abreast of the journey towards finding our new rector here at St. Stephen’s, here are the highlights of our meeting on Wednesday evening:
• The committee continued to look at the process of selecting a rector as outlined by the diocese
• The committee examined the role of various groups as presented in the book Calling Clergy
• The committee will join the Vestry at the retreat on Saturday, February 28, to understand the Vestry’s expectations for the search committee
• The committee looks forward to the congregational surveys as they are reviewed at our next meeting to honor the voices of the congregation in this search for a new priest

Good morning! The search committee had its second meeting on Monday, February 7, in the conference room at Mark Young’s office. • The search committee worked to understand each member’s personality by participating in character inventories and ice-breaker activities
• The committee reviewed the process of selecting a priest to understand the involvement of the diocese in the procedure
• The committee reviewed interest surveys and the results of the round-table discussions to understand the communicated needs of the congregation for the church
• The committee will meet again on Wednesday, February 23, at 7:00 p.m. in Mark Young’s Office

The search committee looks forward to its next meeting and the work that we will do for the church in helping to select our new rector.
January 23, 2011Search Committee Sunday Update

Good morning! The search committee had its first meeting on Wednesday, January 19, in the conference room at Mark Young’s office. The committee is very excited and honored to be doing this important work for the community of St. Stephen’s. As such, we will be updating the congregation at both the 7:45 and 10am services with a brief announcement of what work has transpired at the meetings. Since the committee will be meeting twice a month, there will be at least two announcements during each month of the progress of the committee. Highlights of our meeting on Wednesday evening are the following:
• Members of the committee were introduced to each other.
• Both Rev. Lynn and Dave Melton of the Vestry provided some insight and guidance into the search process
• Timelines and duties of the committee members were discussed
• Committee offices were discussed and voted upon by members
• Dates for future meetings were decided upon – two meetings per month at the office of Mark Young
• Tasks to be completed were discussed and to be brought to the next search committee meeting

ST. STEPHEN’S, SANTA CLARITA, NARRATIVE QUESTIONS FOR COMMUNITY PORTFOLIO

1. Describe a moment in your worshipping community’s recent ministry that you recognize as one of success and fulfillment.
Recently at St. Stephen’s, we had the privilege of hosting the ordination to the priesthood of two of our members, The Rev. Susan Bek and The Rev. Dr. Cynthia Jew. Since both ordinands have children with disabilities that would have prevented their attendance at a cathedral service, our diocesan Bishop graciously agreed to ordain the new priests here in their home parish. We were able to include our whole community, adults and children, in the service. By celebrating the ordination at St. Stephen’s, the entire congregation was able to
share the joy and celebration experienced by Susan and Cindy on their special day. We were reminded not only of their hard work over the last several years, but our own in supporting them throughout their seminary education.

2. Describe your liturgical style and practice for all types of worship in your community.
We vary our liturgical style from season to season, always using either a Rite II Eucharistic prayer or one chosen from Enriching Our Worship. Our approach to worship in the sanctuary (at the altar) encourages congregational participation in a very familial spirit while still conducting the service in an orthodox liturgical context. Worship music is quite varied and chosen from a number of sources, both traditional and modern. We employ both organ and piano accompaniment to accomplish this. Once a month, we incorporate contemporary music by our folk group, The Stones, as well as the children’s choir, and chime choir in our main Sunday service.

3. How do you practice incorporating others in ministry?
When a newcomer joins St. Stephen’s they are queried about their interests as they relate to involvement in our ministries. We encourage members to participate through discussions with and encouragement from the clergy, as well as personal invitation from leaders and others in each particular ministry. We view ministry as something all St. Stephen’s members should participate in, depending upon their time and talents. We follow the idea that “no one should do everything, but everyone should do something.” Thanks to this approach, we have a robust number of ministries serving both our internal needs and many found in the wider community.

6. Describe your worshipping community’s involvement in either the wider Church or geographical community.
We have numerous outreach ministries to the local community and the wider church, including: two local food pantries, the Santa Clarita Valley (SCV) Winter Homeless Shelter, ERD, The SCV Interfaith Council, City of Santa Clarita Human Relations Forum, United Thank Offering, and Family Promise, a new program in which St. Stephen’s has joined with other area churches to serve recently homeless families in the area.

8. How are you preparing yourself for the Church of the future?
We believe that we are on the cusp of moving up from a “pastoral size” church to a “program size” church. To work towards the vital growth we seek, we are increasing our use of social media such as Facebook and looking into Twitter to spread our message in new and exciting ways, especially to younger people.
